Covid 19 Update

The Covid 19 pandemic has effected businesses across the world and has impacted on the operations of many, including touring companies, and as a result we have changed our Terms & Conditions to allow for the evolving nature of this pandemic. Our policy regarding bookings and/or cancellations has altered, and you must read carefully. As part of our booking procedure, our Terms & Conditions must be understood and acknowledged.

Bookings

A $500 deposit made at the time of booking, and full payment is due a minimum of 45 days prior to departure. Failure to pay on time could result in the deposit being forfeited.

Cancellations must be formally notified to us by email or post. Your notice of cancellation will be effective once received in writing (email or post). Cancellation conditions are as follows:

  • If you cancel your booking more than 120 days prior to the departure date, your deposit will be refunded, less $100 administration fee.
  • Cancellation between 120 days and 45 days prior to the departure date your full deposit will be forfeited.
  • Cancellation less than 45 days prior to the departure date will result in 50% forfeit of all monies paid, or if the deposit only paid to that stage, the full deposit will be forfeited.
  • Wild Trek Tours reserves the right to convert fees into credit on subsequent tours.

Variations

  • Wild Trek Tours reserves the right to alter trek pricing due to circumstances out of our control. Instances may include fluctuations to airline prices due to Covid 19, airline changes to departure destinations due to less flight options , currency fluctuations (PNG – Kokoda), and other charges that could be effected by force majeure, including hotel costs, airline fuel charges, etc.
  • Wild Trek Tours reserves the right to change or modify any routes as set out in the itinerary due to safety reasons, or due to changes in circumstances that warrant such a change, such as weather, expediency, or group consensus.
    • In the event of a tour being cancelled due to safety issues outside of our control such as war, pandemic, civil unrest, government restrictions, terrorist activity, , weather, or Acts of God, or other Force Majeure, within a week prior to departure, or during the tour, Wild Trek Tours will not refund fees nor pay any compensation, or meet any other costs – it is imperative that your personal travel insurance is valid and up to date.
    • Wild Trek Tours may at its discretion transfer all fees paid to a subsequent tour.

A tour may be cancelled up to 45 days prior to departure by Wild Trek Tours should the minimum number of 4 trekkers not be reached.

Information Form

The detailed information form must be completed and returned at the time of booking. You are required to provide a medical certificate, and this is to be provided to Wild Trek Tours 60 days prior to departure. Any changes to your personal medical condition must be communicated to Wild Trek Tours prior to departure.

Wild Trek Tours reserves the right to refuse your booking on medical or fitness grounds. It is your duty of disclosure to relay all pertinent medical information to Wild Trek Tours, and if full disclosure has not been made, Wild Trek Tours will not be liable for any action or compensation.

On trek withdrawal

Should you withdraw from the trek for any reason whilst in progress, you will be responsible for all transport, medical, accommodation, food, and other expenses. It is vitally important that your travel insurance be current and up to date, and include trekking conditions (eg noted for Kokoda, or Tasmania wilderness, etc).

Wild Trek Tours may at its discretion remove a trekker from the tour should their conduct possibly compromise the health and safety of either themselves or the other members of the trek, or whether Wild Trek Tours considers the trekker physically unable to complete the trek safely. This would again be at the trekkers own expense.

Dietary requirements

Please inform Wild Trek Tours of any special dietary requirements you have so we can assess whether we can fully accommodate your requirements. If your requirements are outside of our capabilities due to the remoteness of our trek, it may be necessary for you to supply or supplement your own food.

Insurance

It is mandatory that you have your own travel insurance. Your insurance must include details of the trek, as your insurer must be aware of your trek itinerary – eg Kokoda, or Tasmanian wilderness, etc. The insurance must include the provision for emergency evacuation by helicopter, aircraft, or porters. You must provide proof of this cover to Wild Trek Tours.

Privacy – Medical

You must provide permission for Wild Trek Tours to collect personal information from you and your medical practitioner to assist us in ensuring your personal safety and well-being.

Risk and waiver of liability

Whilst Wild Trek Tours takes every endeavour to minimize risk, the very nature of your trek may expose you to inherent risks. Trekking in Kokoda or wilderness areas could result in injury or death, disease, damage to property, and/or trauma. Our areas of operation are remote and have little or no medical support. Support could also be delayed due to weather or other unforeseen circumstances.

You fully understand that Wild Trek Tours is also not responsible for acts or omissions of others, including airlines, accommodation or other transport and that Wild Trek Tours does not take responsibility if such acts result in loss or damage, injury, death, or other expenses.

Wild Trek Tours will also not accept responsibility or liability for any contravention by yourself of the laws or regulations of the country or region visited in the tour.

You agree that to the fullest extent provided by law, Wild Trek Tours does not accept liability for any loss, damage, injury or death which you may suffer whilst participating in a trek. To the fullest extent by law, you also agree not to seek compensation from Wild Trek Tours, its Directors, employees or contractors, for any incident that may occur during the trek, and that you waive any associated claims arising from the incident.
